Placing Orders

Is there a minimum order requirement?

No. There is no minimum order at HHD.

How do I place an order?

Can I add items to an order after it's been placed?

Yes. Once an order has been entered and printed for fulfillment, additions are accepted during normal business hours if the change is requested within 2-3 hours of submission. Requests can be submitted to a member of our customer service team by phone at 1-800-443-4318, or simply reply to the Order Confirmation email that you receive. 

Can I place a pickup order?

Yes. HHD requires one hour from time of order placement to fulfill pickup orders. Orders are picked and invoiced the same day they are placed, even if not picked up that day.

Where does HHD ship?

HHD ships to the continental United States, Hawaii, Alaska, and Puerto Rico. International shipping is also available. Contact customer service for details.

Does HHD offer same-day shipping?

Yes. HHD offers same-day shipping on stocked inventory and maintains a 99%+ order fill rate.

What is HHD's shipping terms (FOB)?

All shipments are FOB (Freight on Board) HHD's facility unless otherwise specified in writing. Title and risk of loss transfer to the buyer upon delivery of goods to the carrier at HHD's facility.

Can chemicals and hazardous materials be shipped by air?

No. Chemicals and hazardous materials cannot be shipped by air. Ground shipping is required for these items.

What if an item I ordered is out of stock?

Most orders ship complete. If an item is out of stock, HHD's customer service team will contact you. Back orders are handled on a case-by-case basis.

Returns, Damages & Claims

What is HHD's return policy?

Returns require prior authorization from HHD. Do not return product without first contacting customer service at 1-800-443-4318 to obtain a return authorization. Restocking fees may apply depending on the item.

How do I report a damaged or short shipment?

Shortage and damage claims must be reported within 48 hours of delivery. Have your invoice number or sales order number ready. When accepting delivery, count all cartons and note any visible damage on the delivery receipt before signing. Keep original packaging for possible carrier inspection.

Who is responsible for shipping damage?

Once an order leaves HHD's facility, it is consigned to the carrier. The carrier is responsible for shortages or damage incurred in transit. Carriers typically will not honor a claim if a clear (undamaged) receipt was signed at delivery, so always note damage before signing.

Can I deduct from an invoice for a dispute or return?

No. Do not deduct from an invoice without first contacting customer service to obtain written authorization. Any payment submitted with deductions must include the authorization paperwork.

What are the terms for canceling a special order?

Special product orders cannot be canceled without HHD's authorization. Buyers may be liable for restocking fees and/or freight charges incurred.

Pricing & Payment

Are prices on the website current?

Prices are subject to change without notice. HHD strives to maintain accurate pricing, and any errors discovered are corrected immediately. Manufacturer replacement part pricing is subject to the manufacturer's own price changes.

Does HHD accept credit cards?

Yes. Credit card payments are accepted. The cardholder authorizes HHD to charge the full purchase amount including applicable taxes, shipping, and handling.

How do I dispute a charge?

Contact HHD customer service directly before initiating a chargeback with your credit card company. Written notice of a disputed charge must be submitted within 30 days of the charge appearing on your statement.

What is the Scale Interceptor and how does it work?

The Scale Interceptor is a permanently energized ionic inducer made from rare earth metals. It reduces the adhesive bond between dissolved calcium and magnesium minerals in water as it passes through your equipment, preventing scale buildup without chemicals. It is a one-time installation requiring no ongoing maintenance, and should be used alongside a quality water filter. It does not replace the need for water filtration. How often should commercial water filters be replaced?

Custom Printed Decanters

Which decanters can be custom printed with my company logo?

HHD offers custom logo imprinting on two decanter models: the GDBKC and the GDORC. To get started, review the policy requirements below and contact customer service at info@hhdonline.com.

What is the minimum order quantity for custom decanters?

The minimum order quantity is 360 decanters. This minimum cannot be combined with orders using existing logo setups. Each logo configuration requires its own 360-unit minimum.

How long does the custom decanter process take?

Estimated lead time for new logo creation and part number setup is 5–6 weeks. Lead times may change if your logo requires adaptation to meet imprinting requirements.

What file format is required for logo submission?

Logos must be submitted as a vector PDF. Vector format keeps artwork sharp at any scale and ensures the best print quality during production.

What are the artwork requirements for a custom decanter logo?

Submitted artwork must meet these requirements:

  • High contrast, crisp, and black-and-white, with no grays
  • Fully print-ready with no need for touchup, color separation, or rearrangement
  • Thin lines and reversed elements may not reproduce accurately at small imprint sizes
  • A preferred typestyle may be specified; if none is provided, a close match will be used
  • Licensed artwork requires a written release before production can begin

Minor adjustments may be made to logos to accommodate the imprinting process. Submitted artwork is assumed to comply with all applicable copyright and trademark laws. HHD is not responsible for typographical errors in submitted artwork.

What is the artwork and production process?

The process follows these steps:

  • A purchase order is required to begin
  • Your logo is sent to a lithographer for artwork creation
  • Artwork is returned to you for approval
  • Upon approval, artwork is sent to the production team and applied to the decanter
Are samples available before committing to a full custom decanter order?

Yes. Samples are available upon request for a $25 fee.

How long does HHD retain my artwork on file?

Artwork is retained by HHD for 24 months. Orders placed after that period will be treated and charged as first-time orders.

What happens if I cancel a custom decanter purchase order?

If a purchase order is canceled, a $95 artwork fee will be invoiced. If an order is then placed within 30 days of that cancellation, the $95 fee will be credited toward the first minimum order.
